Paperless Business Systems: Procuring Financial Control and Flexibility with ‘eRequester’

The Microsoft landscape is currently a combination of legacy systems installed on-premise and new technologies implemented in the cloud. “With Microsoft’s cloud offerings, IT infrastructure can be creatively assembled in various ways, often with less effort rather than building systems internally,” says Randy L. Pape, CEO, Paperless Business Systems. Though CIOs are taking deep interest in new technologies and potential overall cost savings, the underlying concerns emerging out of managing multiple systems and data have posed inevitable challenges. Concerns include user access and usability, security, setup and maintenance, data control and integration between systems.

Headquartered in Seattle, Paperless Business Systems is a web software development and IT consulting firm, specializing in business applications and ERP systems integration, including eprocurement and expense management. The firm works towards maximizing its clients’ agility by providing expert guidance in instances such as system transitions or implementations of new processes. “We are able to provide expertise in requirements analysis, specifications, development, integration and implementation on a project basis,” says Pape. The company’s flagship product, eRequester web-based purchasing and expense management software, integrates with a broad range of ERP solutions from Microsoft, Sage Software, and Intuit among others.

eRequester is a comprehensive suite of cost-effective, turn¬key purchasing and expense management solutions with an easy-to-use web interface. It helps even non-accounting users to manage expenditures, create visibility, and provide internal controls to aid with SOX compliance in connection with purchase and expense requests and approvals. It further facilitates users to submit their requests for approval, using eRequester’s flexible routing logic, to mirror a company’s purchasing policies and ultimately sending out purchase authorizations to vendors, while creating transactions in the accounting system. “eRequester is a powerful addition to financial infrastructure. It not only provides a detailed interface for managing procurement and expenses, but also helps in enhancing information access beyond the account¬ing department,” says Pape.

Moreover, the SaaS version of eRequester runs standalone or integrates with other hosted platforms or onpremises accounting systems using web services, thereby allowing CIOs to leverage any existing infrastructure they have already built to manage their ERP.
A recent example of a successful implementation for Paperless was with a company that manages stadium broadcasts for television networks in different parts of the world. The client deployed Microsoft Dynamics GP, eRequester and integration with their scheduling systems for their mobile technicians. Paperless implemented Dynamics GP Analytical Accounting to manage contract information starting from their CRM, integrating with their scheduling system, and flowing into Dynamics GP and eRequester. “Their staff, distributed throughout the U.S., Europe and Asia, makes purchase requests in eRequester against contract information, and sales flow through the scheduling system into Dynamics GP,” asserts Pape. Consequently, the client is live with the new system and their customer profitability is tracked by contract, customer, and even parent account, integrating sales and purchasing data across their CRM, scheduling, accounting and procurement systems, for business intelligence reporting.

Our software is intuitive and solves real-world issues in companies’ decision-making process around spending and purchasing

Paperless Business Systems invests hugely in SaaS hosting to make the adoption of eRequester easy and immediate for clients with limited or no on-premises infrastructure. For the future, Paperless Business System foresees adding new accounting integrations along with infusing additional capabilities to integrate eRequester SaaS or hosted with accounting systems on premises or cloud. “Along with additional accounting system integrations, we have also added specific module integrations, such as with Dynamics GP Analytical Accounting, Dynamics SL Projects and Dynamics AX procurement categories and financial dimensions,” says Pape. The firm will soon launch new modules like its Mobile Expense Management module and Contracts module “to create and route contract documents for approval and integrate them with Blanket Purchase Order functionality for financial information and subsequent releases, to manage project budgets related to contracts,” Pape concludes.
